Privacy Policy

Last updated: 25 October 2026

This Privacy Policy explains how RR Web Services (β€œwe”, β€œus”, β€œour”) collects, uses and protects personal information when you visit rrwebservices.com (the β€œWebsite”), contact us, book a call, use our free tools and the RR SEO Tools app, buy a package or credits, or when we contact your business.

Who we are

RR Web Services is an SEO consultancy based in India, serving clients worldwide. You can contact us about this policy or your personal information at info@rrwebservices.com.

Information we collect

  • Information you give us β€” your name, email address, phone number, company, website address, budget and the details of your enquiry when you fill in a contact form, book a call, request a report or email us.
  • Booking information β€” the date and time you choose and the details you enter when you book a call. Bookings are added to our Google Calendar.
  • Information from our free tools β€” the website addresses or text you enter into a tool, used to produce the result you asked for.
  • Your RR SEO Tools account β€” your email address, name and (if you give them) your website and company, the results and reports you save, which tools you use, your credits and how you use them, and the internet (IP) address the account was created from. You sign in with a code sent to your email; a cookie (rr_app) keeps you signed in for up to 180 days.
  • Checking a page by URL β€” when you ask a tool to check a web address, our server fetches that page and its site’s robots.txt, sitemap and llms.txt, and records the address and when you checked it. If you choose Core Web Vitals, the address is also sent to Google PageSpeed Insights. Deep reports fetch up to ten more pages of the same site in the same way.
  • Site audits and monitoring β€” the websites you ask us to audit or monitor, what our crawler finds on their pages, your audit history, the fixes you tick off, and the settings for alerts and client emails.
  • AI visibility checks and tracking β€” the brand names, websites, competitors and customer questions you enter, and the answers AI assistants give to them.
  • Google Search Console β€” if you connect your Search Console account in the app, we read your sites’ search data (pages, searches, clicks, impressions, positions) with read-only access to show it in your tools, reports and monthly digest. The access is stored encrypted and you can disconnect it at any time in the app.
  • Payments β€” when you buy a package or credits, our payment providers (Stripe and Razorpay) collect your payment details. We do not receive or store your full card or bank details; we receive your name, email address, what you bought, the amount, and the status of your subscription and payments.
  • Client details you add β€” if you use White label & client reports, the email addresses of your clients that you add so that we can send them reports on your behalf, and your branding (logo, name, contact details).
  • The RR SEO Tools Chrome extension β€” reads the page open in your browser (its HTML, its address and its robots.txt) only when you press β€œAnalyze this page”, and sends it to our server to run the tool you chose. The extension stores its sign-in token and settings in your browser.
  • Technical information β€” your IP address, browser type, device, pages visited and referring website, collected by our hosting provider’s server logs and by the Website’s own visit statistics (see β€œCookies and visit statistics” below).

Businesses we review and contact

To offer our services, we sometimes prepare a review of a business’s website and its visibility in search engines and AI assistants, and send it to a business contact address. For this we use only publicly available information: the business’s public web pages and files (such as robots.txt and the sitemap), public listings, public search tools, and the answers AI assistants give to general customer questions. We may record the business name, website, a business contact name and email address, the review, whether and when the private link to the review was opened (date and number of opens β€” not who opened it or from where), and whether the business asked not to be contacted.

We do this on the basis of our legitimate interest in offering our services to businesses. Every email includes a way to opt out: reply β€œno thanks” or email us, and we will not contact the business again. We keep a short β€œdo not contact” record so that we can honour that request. Reviews of businesses that do not become clients are deleted within 12 months. Members of our team may prepare reviews; all emails are reviewed and sent by RR Web Services.

How we use your information

  • To reply to your enquiry, arrange and hold calls, and send the proposals or reports you request.
  • To provide the tools, audits, monitoring, AI checks and reports you use, and to email you the results, alerts and digests you set up (you can switch off the emails for each monitored site in the app).
  • To take payments, manage your package and credits, and send receipts and notices about your package (for example a price change, with at least 30 days’ notice).
  • To prevent abuse of free credits and free checks β€” for example by limiting free credits for new accounts created from the same internet address or with temporary email addresses.
  • To keep the Website secure, prevent spam and abuse, and fix problems.
  • To understand how the Website is used and improve it (see β€œCookies and visit statistics” below).
  • To meet our legal, tax and accounting obligations.

We do not sell your personal information, and we do not use it for automated decision-making with legal or similarly significant effects.

Legal bases (for visitors in the UK and EEA)

We rely on: your consent (analytics and marketing cookies β€” you can withdraw it at any time); taking steps at your request before entering into a contract, and performing that contract (enquiries, bookings, accounts, packages, credits and services); our legitimate interests in running, securing and improving our business, preventing abuse, and offering our services to businesses (server logs, cookie-free visit statistics, free-credit limits, spam prevention, business reviews and outreach); and legal obligations (financial records).

Cookies and visit statistics

We measure how the Website is used with our own statistics, which run on our own server β€” no outside analytics company receives this information. We record the pages opened, how long and how far down they were read, which buttons and links were clicked, which forms were started and sent (never what is typed into them, except when you send a form to us), the website or campaign link you arrived from, and the type of device and browser.

If you have not accepted analytics cookies, nothing is stored in your browser for this. Your visit is recognised only for that day, by a one-way code made from your IP address and browser with a secret that changes every day; your IP address itself is not stored, and your visits cannot be linked from one day to the next.

If you accept analytics cookies in the cookie banner, we set a cookie named rr_vid holding a random visitor number, kept for 13 months, so that we can recognise your later visits and, if you send us a form, see which pages you looked at before. You can withdraw your consent at any time by clearing this Website’s cookies and site data in your browser (the cookie banner then asks again), and you can block cookies in your browser settings.

If you accept analytics cookies, we may also use Microsoft Clarity (Microsoft) to record how pages are used β€” mouse movements, clicks and scrolling, with text you type hidden β€” and Google Analytics (Google) for visit statistics. If you accept marketing cookies, we may use Google Tag Manager to measure our advertising. These services set their own cookies, process data on their servers (which may be outside your country) under their own privacy terms, and are not loaded at all unless you accept. Clarity receives the same random visitor number as our own statistics, not your name or email address.

When you have accepted analytics cookies and later send us a form, use a free tool with your email, or create an RR SEO Tools account, we link your visits to that enquiry or account. We use this to understand what you are interested in and to prioritise and personalise our reply.

We also use essential cookies and browser storage that the Website needs to work (for example, keeping you signed in and remembering your cookie choice and light or dark mode). Detailed visit statistics are deleted after 13 months; after that we keep only monthly totals that do not relate to any person.

Who we share information with

We share personal information only with service providers who help us run our business, under their terms or agreements that require them to protect it:

  • our website hosting provider and our email provider;
  • Stripe and Razorpay, to take payments and manage subscriptions;
  • Google (Calendar for bookings, PageSpeed Insights for speed checks you choose, and Search Console when you connect it);
  • the AI services that answer AI visibility checks and build site plans β€” OpenAI (ChatGPT), Perplexity, Google (Gemini) and Anthropic (Claude). They receive the questions and the brand, website and competitor names you enter, not your account details;
  • Microsoft and Google for the optional analytics described above, only if you accept those cookies.

Reports you choose to share β€” a report link, a client link or a PDF β€” can be opened by anyone who has the link or file. We may also disclose information if the law requires it or to protect our rights. When we work white-label for an agency, we treat the agency’s and its clients’ information as confidential.

International transfers

We are based in India and some of our service providers are in other countries, so your information may be processed outside your own country. Where the law requires it, we use appropriate safeguards such as standard contractual clauses.

How long we keep information

We keep enquiry and booking details for as long as needed to deal with your request and any follow-up, and generally no longer than 24 months after our last contact. Payment, invoice and subscription records are kept for as long as tax and accounting laws require. Server logs are kept for a short period for security. Detailed visit statistics are kept for 13 months. Your RR SEO Tools account, saved reports, audits, monitoring history and tracking results are kept until you delete them or your account (Account β†’ Delete my account and reports in the app), or ask us to delete them; deleting your account also ends any package at the payment provider. Reviews of businesses we contacted are deleted within 12 months if they do not become clients; β€œdo not contact” records are kept so that we can honour the request.

Your rights

Depending on where you live, you may have the right to access, correct or delete your personal information, to object to or restrict how we use it (including objecting to business outreach), to receive a copy of it, and to withdraw consent. To use any of these rights, email info@rrwebservices.com. You may also complain to your local data protection authority.

Security

We use reasonable technical and organisational measures to protect personal information, including encrypted (HTTPS) connections, encrypted storage of connected-account access, access controls for our team (who see only what their role needs), and secret links for private reports. No method of transmission or storage is completely secure.

Children

The Website and our services are intended for businesses and are not directed at children under 16. We do not knowingly collect their personal information.

Changes to this policy

We may update this policy from time to time. The β€œLast updated” date at the top shows when it last changed. If you have an account or a package, we will tell you about important changes by email.
